Our Business Policy

Last Updated: April 20, 2025

At Pseudocode Solutions, we are committed to transparency, trust, and delivering exceptional value through every website we design, build, and maintain. This Business Policy outlines our approach to service, expectations, and responsibilities to ensure clear understanding and a professional experience for both parties.

Scope of Work

All website projects begin with a clearly defined scope, which includes features, functionalities, timelines, and deliverables agreed upon in writing. Work outside this scope (“change orders”) will require a separate quotation and client approval before execution.

Project Timelines

Estimated timelines for delivery are based on full cooperation from the client, including timely feedback and provision of required materials. Delays in content submission or approvals may lead to a rescheduling of project milestones.

Payment Terms

  • All payments made toward website development are non-refundable.
  • A mandatory upfront payment is required before commencement.
  • Milestone-based or scheduled payments are to be made on time per the agreed terms.
  • Late payments may attract service delays and/or late fees.

Client Responsibilities

Clients are expected to:

  • Provide timely feedback and content.
  • Respect agreed communication hours: Monday to Friday, 8:30am to 5:00pm.
  • Ensure accurate representation of their brand, services, and data.

Communication Protocol

All project communication must be kept professional. Voice notes, calls, and emails are official communication and part of our records. We do not accept last-minute demands, aggressive behavior, or language that violates mutual respect.

Maintenance & Support

Our maintenance packages cover:

  • Monthly updates of plugins and core files
  • Security checks and malware scans
  • Website backups and uptime monitoring
  • Performance optimization

Clients who opt into a maintenance plan must pay monthly fees as agreed. Any non-payment may lead to suspension of maintenance services.

Refunds & Cancellation

All work completed and billed is non-refundable. Cancellation of a project must be made in writing. Upon cancellation, all work completed up to that point will be billed and delivered.

Intellectual Property & Portfolio Rights

Pseudocode Solutions retains the right to display completed work in our portfolio unless otherwise agreed in writing. All proprietary content (text, logos, media) provided by the client remains their property.

Client Conduct & Grounds for Termination

We reserve the right to terminate a contract if the client:

  • Displays unprofessional or abusive behavior
  • Refuses to pay outstanding balances
  • Interferes excessively with the creative or technical process

All termination notices will be issued with a 7-day grace period for any final settlement.
